HOW-TO

How to Combine Restaurant Receipts Into One PDF Page

Keep itemized and payment receipts together on the same PDF page so expenses are easier to review and file.

Two restaurant receipts combined side by side on one PDF page

Restaurant expenses often create two pieces of paper: the itemized receipt showing what was purchased and the payment receipt showing the final total, tip or card transaction. When these are photographed separately, the bookkeeping trail becomes unnecessarily messy.

A practical solution is to place the two receipt images together on the same PDF page. That keeps the supporting information connected and makes the file easier to review later.

Why two receipts belong together

The itemized receipt answers “what was purchased?” while the payment receipt answers “what was paid?” For expense reports, reimbursement requests and bookkeeping, those two pieces of information often make more sense as a pair.

If each photo becomes a separate PDF page, a reviewer has to flip back and forth. With two images on one page, the relationship is obvious.

A simple layout works best

Use a two-item layout and choose the orientation based on the shape of the receipts. Two long, narrow receipts often fit well side by side on a landscape page. If the text becomes too small, stack them vertically on a portrait page instead.

Do not use an aggressive Fill setting. Receipts frequently have totals and merchant details close to the edges, so Fit is safer.

Add a short title when the document contains several expenses

If you are combining many expenses into one PDF, short image titles can make the file much easier to scan. Useful labels include:

  • “Dinner – Sept 4”
  • “Itemized receipt”
  • “Card receipt”
  • “Client lunch – Chicago”

A title should help identify the expense without repeating every detail already visible on the receipt.

Keep the PDF small enough to email or upload

Phone photos can be several megabytes each. A month of receipts can quickly turn into a very large PDF. If the final file is too heavy, compress the images before creating the document with the Bulk Image Compressor.

For receipts, extreme image quality is rarely necessary. The important test is whether merchant names, dates, totals and line items remain readable.

Create the document without uploading private receipts

Receipts can contain names, partial card details, addresses and business information. The Images to PDF tool creates the PDF locally in your browser, so you can organize and export the receipt images without sending them to a conversion server.

A useful structure for monthly expenses

If you have many receipts, organize the pages in a predictable order. Chronological order is usually easiest. You can also insert a text page at the beginning with a month, trip name or project name, then place each receipt pair after it.

What to check before submitting an expense PDF

  • The itemized receipt and payment receipt are paired correctly.
  • The amount and date are readable.
  • The pages are in chronological or requested order.
  • No receipt is accidentally duplicated.
  • The PDF meets the employer or accounting system’s file-size limit.

FAQ

Can I put two receipts on one PDF page?

Yes. Use a two-item page layout and arrange the receipts side by side or one above the other.

Should I combine all receipts into one PDF?

It depends on the recipient. A single organized PDF is convenient for a monthly expense report, but some accounting systems require one file per transaction.

Should I compress receipt photos first?

If the images are very large, yes. Compression can significantly reduce the final PDF size while keeping text readable.
