A folder full of receipt photos may be enough for you, but it is not always the easiest format for the person reviewing your books. A well-organized PDF can turn scattered expense images into a document that is easier to open, scan and archive.
Ask how your accountant prefers to receive receipts
This is the first step because workflows vary. Some accounting systems require one receipt per transaction. Others are perfectly happy with one monthly PDF. Do not create a giant combined document if the bookkeeping process needs individual files.
When one PDF is useful
A combined receipt PDF works especially well for:
- a monthly expense packet,
- a business trip,
- project expenses,
- cash receipts that are not already stored digitally,
- supporting documentation for a reimbursement.
Use a predictable order
Chronological order is usually the easiest. You can also group expenses by project or category if that matches the bookkeeping system. The important thing is consistency.
Use text pages as section dividers
For a larger file, a simple text page can label sections such as “September 2026”, “Travel”, “Software” or “Office Expenses”. This adds structure without requiring complicated PDF editing.
Use two receipts per page when it makes sense
Small receipts often remain perfectly readable with two on one page. This can reduce the page count and make the document faster to scan. Larger invoices or receipts with very small text should get their own page.
Keep amounts readable
Do not over-compress the images. The total, tax, merchant and date need to remain legible. If the images are large but clear, use the
Bulk Image Compressor with a balanced setting rather than aggressive compression.
Build the PDF locally
The
Images to PDF tool lets you reorder receipt photos, choose one, two or four items per page, add titles or text dividers, preview the document and export it in your browser.
Before sending it
- Remove duplicate receipt photos.
- Make sure no important edge is cropped.
- Check dates and totals at normal zoom.
- Use a descriptive filename such as Receipts-September-2026.pdf.
- Confirm the final file size is reasonable for email or upload.
FAQ
Is one PDF better than sending individual receipt images?
It can be, but only if it matches your accountant’s workflow. Ask before changing an established process.
Can I put more than one receipt on each page?
Yes, provided the text remains readable. Two small receipts per page is often practical.
Should I include a title page?
A simple month or project title page can be useful when the PDF contains many expenses.
